Executive Assistant (f/m/d)

Valneva is a specialty vaccine company focused on the development and commercialization of prophylactic vaccines for infectious diseases with significant unmet medical need. Valneva has leveraged its expertise and capabilities both to successfully commercialize two vaccines and to rapidly advance a broad range of vaccine candidates into and through the clinic, including candidates against Lyme disease, the chikungunya virus and COVID-19.



  • Providing administrative support to the Management Board Members, the Snr Executive Assistant and specified departments with a variety of administrative tasks as assigned, such as:
    Calendar management, travel management for the Management Board and specified departments, Company Credit Cards - expense reporting for the Management Board Members, Snr. Executive Assistant and for Heads of some specific departments
  • Preparation, editing and creation of documents using MS Office Tools
  • Organization of workshops and meetings
  • Retrieval and management of meeting & committee materials
  • Drafting meeting agendas, spreadsheets and presentations
  • Acting as Supply Coordinator for Management Board Department
  • Contract management: ensuring follow up; follow through of extensive signature/ approvals of Management Board Members for contracts, travel application sheets and other documents
  • Ensuring that all internal procedures and internal compliance regulations are kept



  • High School Diploma with administrative/financial background required, Associate or College Degree Preferred
  • 2-4 years of administrative assistant experience (preferably administrative support of senior management or executives.
  • Experience in working in an international, fast-paced environment, preferably in the life science industry
  • Ability to adapt well under pressure, shift priorities with ease and work efficiently against deadlines
  • Outstanding Proficiency in Microsoft Office, with demonstrated expertise in Word, Excel and PowerPoint Exceptional interpersonal, organizational, business communication and time management skills
  • Act as "gatekeeper" and demonstrate quick grasp of understanding as well as high team player skills
  • Strong attention to detail and follow-up skills
  • Ability to deal with confidential information
  • Demonstrated problem solving capabilities
  • Excellent oral and written communication skills in German and in English
  • Basic project management skills

Due to legal reasons we are obliged to disclose the minimum salary for this position, which is € 40.000,-  gross per year based on full-time employment. However, our salaries are market oriented and in line with your qualifications and experience.
